Privacy Policy
This policy explains what Kinematum processes, why it is needed, how KinemaTalent limits AI data, and how account holders and invited participants can exercise control.
1. Who is responsible
For an assessment created by a trainer or organization, that organization decides why participant data is collected and is normally the data controller; Kinematum acts as its service provider or processor. Kinematum is responsible for account administration, service security, audit records, and any processing it determines independently. Contact the inviting organization first for assessment-specific questions, or contact us at privacy@kinematum.com.
2. Data we process
Depending on the feature used, we process account and organization details, client name and contact details, date of birth, selected interests, practical access, reviewed height, five posture photos, derived movement measurements, capture quality data, assessment results, professional notes and approvals, secure-link metadata, trial feedback, training programs, technical logs, and audit events.
We do not use Talent for facial recognition or biometric identification. We calculate bounded recommendation scores for individual sports, not a universal or person-level talent score.
3. How a Talent assessment is processed
- Your device checks image type, size, basic quality, and full-body visibility before upload.
- Accepted photos are uploaded to private, organization-scoped storage.
- Accepted photos and reviewed height are processed with Kinematum's confidential 96-point method. The method's technical construction is proprietary.
- Reference rules combine interests, practical access, body-reference fit, and non-diagnostic posture readiness into a bounded score for each sport.
- The configured AI does not write narrative prose. It receives only temporary sport identifiers such as sport_01; allowlisted identifiers for matched or missing preference and practical-access categories; and allowlisted identifiers for body-metric categories and high-level, non-diagnostic posture-preparation bands, focus regions, and screening indicators. It selects only bounded preparation-focus and trial-emphasis options, and the server composes the final narrative from approved localized templates. It does not receive raw photos, names, email addresses or other direct identifiers, exact height, coordinates, landmarks, or proprietary method details. It cannot alter the sport set or order, and the final result remains subject to qualified professional review.
- A qualified professional reviews the result before it can be shared with the participant.
4. Why we process data
We use data to authenticate users, provide and resume the requested assessment, validate captures, generate versioned sport-exploration guidance, support professional review, create approved preparation plans, protect the service, prevent misuse, maintain an audit trail, respond to deletion requests, and meet legal obligations.
The inviting organization is responsible for identifying and documenting the lawful basis that applies to its participant relationship, including consent where required.
5. AI use and model training
Kinematum may use configured AI services to select bounded preparation options; they do not write narrative prose. The service receives only temporary sport identifiers such as sport_01; allowlisted identifiers for matched or missing preference and practical-access categories; and allowlisted identifiers for body-metric categories and high-level, non-diagnostic posture-preparation bands, focus regions, and screening indicators. It selects only bounded preparation-focus and trial-emphasis options, and the server composes the final narrative from approved localized templates. It does not receive raw participant photos, names, email addresses or other direct identifiers, exact height, coordinates, landmarks, or proprietary method details. Its choices cannot change the sport set or order, and the final result is held for qualified professional review.
We do not use participant photos, derived assessment data, questionnaire answers, results, professional notes, or trial feedback to train or fine-tune general-purpose or KinemaTalent models.
6. Sharing and service providers
Data is available only to authorized members of the inviting organization, the invited participant through a valid link, Kinematum personnel who need access to operate or secure the service, and contracted infrastructure or AI providers acting under appropriate restrictions. We may disclose limited information when required by law or to protect people, rights, and service security. We do not sell participant data.
7. Retention and deletion
Talent photos are configured to expire automatically no later than 30 days after capture, and a participant withdrawal makes pending photo deletion immediately due. Derived assessment data, review decisions, and audit records may be retained longer when needed to reproduce a professional result, document safety and consent handling, resolve disputes, or meet legal duties.
Closing the participant link immediately revokes active access and stops unfinished processing where possible. Backup copies age out under controlled backup schedules. A deletion request may be limited where retention is required by law, safety, fraud prevention, or the establishment or defense of legal claims.
8. Security and link safety
We use organization isolation, authenticated professional access, hashed link tokens, encrypted transport, private object storage, expiring links, version checks, restricted internal services, and audit events. No system is perfectly secure. Participants should keep the secure link private and report suspected exposure so it can be revoked and replaced.
9. Your choices and rights
Depending on local law, you may request access, correction, deletion, restriction, portability, or objection, and may withdraw consent without affecting earlier lawful processing. The participant link provides a direct control to close access and request deletion. You can also contact the inviting organization or privacy@kinematum.com. We may need to verify identity and route the request to the responsible organization.
10. International processing and policy changes
Service providers may process data in countries other than your own. Where required, the responsible party must use an approved transfer mechanism and appropriate safeguards. We will date material policy changes and provide additional notice when required. Questions or complaints may be sent to privacy@kinematum.com and may also be raised with the applicable privacy authority.
